OCR Insurance Card Capture in the Schedule Flow

Patients can now photograph or upload their insurance card during the scheduling process. Insurance details are automatically extracted and pre-filled into the registration form, reducing manual entry and improving data accuracy at the point of booking.

How It Works

When enabled, a new Insurance Details step is added to the scheduling workflow before the patient registration form. Patients are prompted to capture or upload the front and back of their insurance card. The images are processed and the extracted data — including carrier, group ID, member ID, and policyholder name — is used to pre-populate the insurance form. Patients can review and edit the pre-filled information before continuing, or skip the step and enter their details manually.

Privacy & Data Handling

Insurance card images are used only for data extraction during the scheduling flow and are not stored or retained after processing. No protected health information (PHI) from insurance card images is maintained by the OCR system.

What This Means for Your Patients

  • Faster check-in: Insurance details are captured upfront, reducing time spent on manual data entry.
  • Fewer errors: OCR extraction minimizes transcription mistakes on common fields like member ID and group number.
  • Flexible fallback: Patients who prefer to type their information can skip the capture step entirely.
