Clinical Keyword Templates — How Subscriptions Work

About this feature

Clinical Keyword Templates let you create and manage a standardized list of medical search terms for your providers. When you subscribe providers to a template, their clinical keyword profiles are managed centrally — update the template once, and every linked provider updates automatically.

How to Subscribe Providers to a Template

Once your template is ready, subscribe providers to it the same way you apply a template to a provider — from the bulk provider edit page.

After a provider is subscribed:

  • The template's keyword list is applied to their profile.

  • No changes are made to their existing keywords.

  • Future changes to the template are automatically pushed to the subscribed provider's profile.

  • The subscription history is shown in the template history section of the Clinical tab in Kyruus Connect.

  • The subscribed provider's keywords are locked in Kyruus Connect — you can't modify keywords for a provider while they're subscribed to any template.

Important rules to know:

  • A provider can only be subscribed to one template at a time. If a provider is already on a different template, the system blocks the new subscription and tells you which providers are in conflict.

  • If a provider is already subscribed to the same template, adding them again has no effect.

How to View Subscribed Providers

You can look up the full list of providers subscribed to any template from the template management page. The list can be:

  • Searched by provider name or NPI number

  • Browsed page by page

Each entry shows the provider's name, NPI, when they were subscribed, and who subscribed them. You can click through to their provider profile in Kyruus Connect.

How to Remove (Unsubscribe) Providers from a Template

You can remove providers from a template at any time. When a provider is unsubscribed:

  • They no longer appear on the Subscribed Providers page.

  • Their existing keywords are not deleted. They retain the keywords on their profile but stop receiving automatic updates from that template.

Delete a Template

If you delete a template:

  • All providers subscribed to it are automatically unsubscribed.

  • Their existing keywords are not deleted — the keyword data stays on their profiles, it just won't be managed by the template anymore.

  • The template itself is permanently removed.

What Happens Automatically

Action You Take

Notifications

When you subscribe providers to a template, the process runs in the background. You'll get an email once it completes, with a count of providers successfully updated and a list of any that couldn't be processed.

Permissions Required

  • To view the Subscribed Providers page, a user needs template_management:access

  • To subscribe or unsubscribe providers from any template, a user needs scope_of_practice:write and template_management:access

Things to Keep in Mind

  • A provider can only be subscribed to one template at a time.

  • Removing a provider from a template, or deleting a template, does not erase their keyword data.

  • All actions are logged with a timestamp and the name of the user who made the change, giving a complete audit history.
