What is Aggregated Appointment Scheduling?

Aggregated Appointment Scheduling is a scheduling experience that displays a consolidated view of all available appointment slots across every provider at a given location — directly on the location page. Rather than browsing individual provider profiles, patients can view and book from a unified availability grid at the location level.

Why It Exists

Patients visiting a location page often do not have a preferred provider. Previously, patients had to scroll through a provider list and check availability one by one. Aggregated Appointment Scheduling removes that friction by surfacing all open slots at a location in a single view, helping patients find and book the right appointment faster.

How It Works

The scheduling widget appears in the sidebar of a location page where Aggregated Availability is enabled. When it loads, it fetches the providers at that location and retrieves available appointment slots, displaying them in a unified grid.

Patient experience:

  1. The patient lands on a location page where Aggregated Availability is enabled.
  2. They see a scheduling widget with the following inputs:
    • Patient Type — New or Established 
    • Visit Method — In-Person or Virtual
    • Appointment Type — dropdown populated from available appointment purposes at the location
    • Provider — defaults to "Soonest Available"; patient can switch to a specific provider if preferred
  3. The grid updates to show all available slots matching the selected criteria. When multiple providers are free at the same time, only one slot is shown for that time.
  4. When a patient selects a slot:
    • Specific provider selected — the patient is routed directly into the scheduling flow with that provider pre-selected.
    • "Soonest Available" selected — the system automatically assigns a provider using round-robin logic. The assigned provider's name is displayed clearly before the patient continues into the booking flow.
  5. If no providers match the selected criteria, the widget displays a "No availability for this visit type" message.

Current Limitations

  • Aggregated Availability coexists with the existing provider list on the location page — it does not replace it.
  • Round-robin provider assignment is stateless — provider assignment logic is not stored or reused across sessions.
