Managing Location Data via Export and Bulk Update

Maintaining an accurate directory requires the ability to audit and update information at scale. Kyruus Connect provides robust tools for exporting your data for review and performing bulk updates to ensure consistency across your organization.

Export Functionality

The CSV Export tool allows you to pull a comprehensive list of all current locations. Use this feature for:

  • Downstream Reporting: Create custom reports or perform data analysis in Excel/Google Sheets.

  • Data Audits: Review all location details in a single view to identify missing or outdated information.

  • Update Preparation: Use the export as your starting point for a Bulk Update.

Bulk Update Functionality

The Bulk Update feature allows administrators to modify large sets of existing location records simultaneously. This is the most efficient method for routine maintenance or organization-wide changes.

When to use Bulk Update:

  • Consistent Changes: Applying the same update (e.g., new branding, updated phone numbers, or insurance networks) to many sites.

  • Data Cleanup: Correcting quality issues identified during an audit.

  • Field Updates: Modifying specific details without having to recreate location records from scratch.

How to Perform a Bulk Update

Follow these steps to ensure your data is updated accurately:

  1. Export Current Data: Always start by exporting your current location list to ensure you have the most recent data and correct identifiers.

  2. Modify the File: Open the CSV and make your changes.

Critical: Do not modify the unique location identifiers (IDs). The system uses these to match your changes to the correct record.

  3. Upload the CSV: Navigate to the Bulk Update section and upload your modified file.

  4. Confirm: Wait for the on-screen confirmation and keep an eye out for an email notification confirming the process is complete.

Best Practices for Success

To minimize errors and protect your data integrity, follow these industry best practices:

  • Create a Backup: Save an untouched copy of your original export before you begin editing. If something goes wrong, you can quickly revert to the previous state.

  • Batch Your Updates: For very large datasets (500+ rows), consider breaking the updates into smaller, more manageable files to speed up processing and simplify troubleshooting.

  • Run a Pilot Test: Update a small "test" set of 5–10 locations first to confirm the fields are mapping exactly as you expect.

  • Document Changes: Keep internal notes regarding what was updated, the reason for the change, and the date it was performed for future reference.
