Clinical Tab
The Clinical Tab contains all clinical and patient-facing medical information associated with a location.
General Card
The General Card consolidates key clinical attributes:
- Accepting New Patients: A toggle indicating whether the location is currently accepting new patients
- Specialties: Lists the medical specialties provided at the location (e.g., Cardiology, Orthopedics, Pediatrics, Dermatology)
- Services: Represents the clinical services available at the site (e.g., X-Ray, Laboratory Services, Physical Therapy, MRI, and other diagnostic or therapeutic offerings)
- Accessibility and Parking: Includes details such as wheelchair accessibility, parking availability, public transit accommodations, and accessibility support features
Marketing Tab
The Marketing Tab contains all public-facing and marketing-related information about a location. This information is displayed to patients through search results, directories, and other consumer-facing channels.
General Information
- Location Names: Allows the addition of multiple names used in various marketing contexts
- Exterior Signage Name: The name that appears on physical signage at the location
- Brands: Brand affiliations associated with the location
- Marketing Location Type: The classification of the location for marketing purposes (e.g., Clinic, Hospital, Urgent Care)
URLs
This section manages all website links and online resources related to the location.
How to Add a URL
- Open the URL section and click the Edit button
- Click 'Add URL' to open the sidebar
- Enter the full URL in the input field and optionally add a label to describe its purpose
- Mark the URL as Primary if it should be the main link displayed
- Click Save to apply the changes
Third-Party IDs
These are identifiers used by external marketing systems and third-party platforms.
- Only add IDs you actively use in external systems
- Keep IDs accurate to prevent tracking/integration issues
- Document which system each ID belongs to
How to Add a Third-Party ID
- Open the Third-party IDs section and click the Edit button
- Click 'Add third party ID' to open the sidebar
- Enter System & ID information in the input fields
- Click Done to save the information
Media
Rich media content — such as images, videos, audio, and files — helps enhance the location's presence in patient-facing search results and directories.
- Add media that improves patient understanding of the location
- Use clear titles and descriptions for each uploaded item
- Keep media current and remove outdated or irrelevant content
How to Add Media
- Go to the Media section and click the Edit or Add media info button
- Select the media type you want to upload (Image, Video, Audio, or File)
- Add the URL of the media file and assign a label if needed
- Click Save to add the media to the location profile
Search Settings
These settings control how the location appears in patient-facing search results and determine whether users can access a custom location page.
- Use this section to manage search visibility
- Add an override URL when a custom landing page is required
- Hide locations from search when they are not ready for patients
How to Update Search Settings
- Open the Search Settings section and click the Edit button
- Add a Location Page Override URL if you want patients to be directed to a custom page
- Toggle 'Show in search results' to Yes or No depending on visibility needs
- Click Save to apply the updates
Hours Tab
The Hours tab is used to manage a location's operating schedule, including operating status, time zone, hours of operation notes, and weekly time slots. Multiple time slots can be added per day to support breaks and split shifts.
- Keep the location's operating status accurate (Open, Temporarily Closed, Permanently Closed)
- Ensure the time zone matches the physical location
- Add multiple daily time slots for breaks, lunch, or shift changes
- Use notes for patient-friendly directional or contextual guidance
Location Operations
This section contains high-level operational details for the location, including operating status, time zone, and optional notes.
How to Update Location Operations
- Open the Hours tab and go to Location Operations
- Click Edit
- Select one of the available statuses:
- Open — The location is actively operating
- Temporarily Closed — For renovations, seasonal closings, or short-term shutdowns
- Permanently Closed — The location has shut down permanently
- Add Hours of Operations Notes, if needed
- Click Save
Regular Operating Hours
This section is used to set the weekly operating schedule. Each day can be marked as Open, Closed, Open 24 hours, or configured with multiple time slots.
Set standard open/closed hours:
- Open the Hours tab and go to Regular Operating Hours
- Click Edit
- For each day, toggle Open or Closed. If Open, enter start and end times (e.g., 09:00–17:00)
- Click Save
Set a day to Open 24 hours:
- Toggle the day to Open
- Check Open 24 hours — time fields will be disabled automatically
- Click Save
Add multiple time slots (for breaks or split shifts):
- Select the day you want to configure and toggle Open
- Enter the first time slot (e.g., 08:00–12:00)
- Click + Add time slot
- Add the next time slot (e.g., 13:00–17:00)
- Repeat as needed, then click Save
Remove a time slot:
- Locate the time slot you want to delete
- Click the Delete icon
- Click Save
Providers Tab
The Providers tab displays all providers who practice at the selected location and allows you to manage the provider-location relationship, including intersectional data that applies only to this location.
- Use this tab to add, edit, or remove provider associations
- Update location-specific attributes for each provider
- Filter, search, and sort the provider list
- Maintain accurate provider availability and operational data
How to View Providers at a Location
- Navigate to Locations → [Select Location] → Providers
- Review the table of all providers associated with this location
Table columns include:
- Name: Provider's full name (click to open Provider Profile)
- NPI: National Provider Identifier
- Type: Provider type (MD, DO, NP, PA, etc.)
- Practice Group: Provider's organization/group
- Accepting New Patients: Yes/No at this location
- Currently Seeing Patients at Location: Indicates if provider practices here
- Employed: Employment status for this location

How to Search and Filter Providers
Search:
- Use the search bar at the top of the provider table
- Enter name, NPI, type, or practice group — the table updates instantly
Filter:
- Click the filter icon on any column header
- Enter text (Name, NPI) or choose from dropdown (Type, Practice Group)
- For Yes/No fields, select Yes, No, or (blank), then apply the filter
Sort:
- Click any column header to sort ascending or descending
How to Link a Provider to This Location
- In the Providers tab, click Add Provider links to open the side drawer
- Search for the provider by name, NPI, or practice group
- Select the provider to link. Repeat for multiple providers
- Click Save
How to Edit Intersectional Data
- Go to the provider row in the table and click Edit
- Update any of the following fields:
- Accepting New Patients
- Currently Seeing Patients (at Location)
- Booking Link
- Employed (at Location)
- Syndicate to listing (Yes/No)
- Notes
- Click Save
How to Unlink a Provider from This Location
- Find the provider in the table
- Click Unlink
- Confirm the action — the provider is removed from this location's list
| Important: Unlinking removes the association but does NOT delete the provider from the system. |
Insurances Tab
The Insurances tab allows you to manage which insurance companies and plans are accepted at the selected location. This ensures that patients can find locations compatible with their insurance coverage and support accurate filtering in patient-facing search tools.
- Add or remove insurances accepted at the location
- Use the multi-select typeahead search to manage insurance lists quickly
- Insurance lists are customer-specific and displayed alphabetically
How to Add Insurances
- On the Insurances tab, click Edit
- Use the multi-select typeahead dropdown:
- Start typing the insurance name
- Select the insurance from the suggestions
- Repeat to add multiple insurances
- Newly selected insurances appear in the list
- Click Save
Related Locations Tab
The Related Locations tab lets you model your real-world organizational structure by linking locations in parent-child hierarchies (e.g., Health System → Hospital → Campus → Department → Clinic).
- Organize locations to match how patients navigate your system
- Maintain a single parent for each location; add multiple children to a parent
- Prevent circular links and overly deep structures with built-in constraints
Parent Location Card
Shows the parent of the current location (if one exists): parent name (clickable), location type, and address.
- Actions: Link Parent, Unlink Parent
Sub-Locations Card
Lists all child locations when the current location is a parent. Columns: Internal Name, Public Name, Type, Address, City, State, ZIP.
- Actions per row: Open, Unlink
- Global actions: Link Existing Location, Create New Location
Key Rules & Constraints
- One parent per location: A location cannot have multiple parents
- Many children per parent: A parent can link to multiple sub-locations
- Maximum depth: 6 levels — prevents overly complex hierarchies
- No circular relationships: You cannot link a location to itself or to its descendants
- Unlinking ≠ deleting: Removing a link preserves both locations as independent records
How to Link a Parent Location (Make This Location a Child)
- Open the location that should become the child
- In Parent Location, click Link Parent
- In the search drawer, find and select the intended parent (descendants of the current location are grayed out to prevent circular links)
- Click Link, then Save
How to Unlink the Parent Location
- Open the child location
- In Parent Location, click Unlink Parent
- Confirm the action, then Save
How to Link Existing Child Locations
- Open the parent's location
- In Sub-Locations, click Link Existing Location
- Search for and select one or more existing locations to add as children
- Click Link, then Save
How to Unlink a Child Location
- Open the parent location
- In Sub-Locations, find the child in the row
- Click Unlink next to that child, confirm, then save
How to Move a Location to a New Parent
- Open the child location and Unlink Parent
- Click Link Parent and select the new parent
- Save
