A five-step path from kickoff to your first launch. Working through these before your kickoff call, even as informal notes, makes that call much more productive. Most people spend 10 to 15 minutes on this.

Step 1: Clean Up Your Structured Data

• Audit specialty, board certification, and education fields for every provider in your pilot group, and fill any gaps.
• Populate clinical keywords for those same providers wherever the data exists.
• Hold back any provider with fewer than five populated fields from this first round. Add them once their data is complete.

Step 2: Define Goals and Loop In Stakeholders

• Pick one primary success metric to track, such as staff hours saved per bio, growth in booked appointments, or search visibility, and get stakeholder agreement before launch.
• Check any downstream systems that use your bios today, and adopt their length or format limit as your target if one exists.
• Get sign-off from legal or compliance on using AI-generated content in patient-facing profiles before requesting any bios.

Step 3: Scope Which Providers and Bios to Include

• Target bio length is 100 to 150 words, unless a downstream system requires something shorter.
• The first round generates bios only for providers who currently have no bio content.
• Both employed and affiliated providers are included.
• Choose one practice group across one to two specialties for your pilot, ideally with strong data and an engaged champion.

Step 4: Configure Voice and Style

• Tone starts as Balanced. Only choose Warm & Approachable or Credential-Forward if your organization has a clear reason to diverge.
• Set the first-mention format to "First Name Last Name, Credential" (for example, "Marie Shea, MD") and the after-first-mention format to "Dr. Last Name" for physicians.
• Decide and document how non-physician providers should be referred to, since this is not covered by the physician default.
• Send 2 to 3 of your strongest existing bios, ideally already reviewed and approved by the provider, to your RevSpring team as style examples.
• Build a short "always avoid" list covering legal-flagged language and generic superlatives like "best" or "renowned," with special attention to sensitive specialties.
• Double check your example bios do not contain any language from that avoid list before sending them over.

Step 5: Set Your Review and Approval Process

• Identify one to two specific reviewers with the authority to approve bios, not a general team distribution.
• Set a 3-week review window as your default. Shorten it only if your reviewers confirm they can turn bios around faster.
• Schedule a courtesy reminder to providers at day 10 of the review window.
• Send providers a short heads-up before their draft arrives, explaining why bios matter and that they can propose edits.
• Decide in advance what happens to bios still unreviewed at day 21, either publish as is or hold until reviewed, and share that decision with providers up front.

Actual timing depends on your data readiness and review capacity, but most organizations follow a similar path from kickoff to full launch.

WHAT TO EXPECT AFTER LAUNCH: Once tuned, most organizations settle into a repeatable review window, commonly three weeks, for each new batch of providers. Approved bios go live immediately and flow into any API feeds that already include provider data.
